Here at Peoples Ford we take the privacy of our customers, visitors and employees very seriously and to help you understand what we do with the information you provide to us we have compiled this Privacy Notice statement.

Information we collect from you, why we collect it and how we will use it

We gather personal data about you and potentially your vehicle when you visit our dealerships, use our website and/or our livechat facility or correspond with us by telephone, email or via our Customer Experience Centre. In addition we may also obtain personal data about you from third parties for example; Autotrader, if you have made an enquiry via them about any of our products or services.

This section sets explains in more detail what information we collect, why we collect it and how we may use this.

If you use Peoples Ford services

We have to hold the personal data; name, address, contact telephone number(s), email address, vehicle information, of the people who have requested a service in order to provide it for example, a Service, MOT or setting up a Service Plan. However, we only use these details to provide the service the person has requested and for other closely related purposes. For example, we might use information about people who have visited our Service departments to find out if they are happy with the level of service they received.

If you purchase a vehicle from Peoples Ford

In order to carry out the contractual obligations we will collect your personal data; including relevant documentation, during the purchase of your vehicle. This information will be used to seek finance approval; if requested by you, and also to carry out any additional processing in association with services required for the performance of the contract.

Following the purchase of a vehicle, your personal data will then be securely stored in line with the tax and regulatory requirements.

If you use our Website enquiry forms

Where we have obtained your personal data following a request for information; New or Used vehicle enquiry, vehicle valuation, test drive or brochure request or an enquiry linked to any of other products or services, we will use (process) this data in order to fulfil your request and support you with this enquiry.

When you submit personal information using an online form, GForces (our website provider) processes the data collected and stores it for 31 days for the legitimate business purpose of enabling us to access the information and deal with your request (it is then kept for a further 14 days in GForces’ routine back-ups for business continuity purposes). We collect the following information: Name, email address, postcode, telephone number.

If you enter your post code, GForces stores the first part of it (e.g. ‘ME14’ or ‘SW1’) and links it to standard internet log information already collected (it is used for the same purposes as that information, as outlined above).

If you use our LiveChat service

If you use the LiveChat service on our website we will collect your name, email address, telephone number and the contents of your Live Chat conversation. This is used for the legitimate business purpose of handling the customer enquiry and in order to resolve the enquiry and fulfil the customer’s request.

We use a third party provider, LogMeIn Inc., to supply our LiveChat service. This data is stored for two years by Peoples Ford and 30 days by LogMeIn Inc. to enable us to access the information and deal with your enquiry. You can request a transcript of your Live Chat session if you provide your email address at the start of your session or when prompted at the end. LogMeIn stores the information outside the EEA, in the US, under the EU-US privacy shield framework.

People who contact us by telephone

When you call Peoples Ford directly, the telephone lines are recorded and we use this call recording information to help improve our overall levels of customer experience and to assist in investigating any complaints.

People who email us

Any email sent to us, including any attachments, may be monitored and used by us for reasons of security and for monitoring compliance. Email monitoring or blocking software may also be used. Please be aware that you have a responsibility to ensure that any email you send to us is within the bounds of the law.

If you visit our website

When someone visits our website, GForces (our website provider) collects standard internet log information (your IP address, browser, and type of device) and details of visitor behaviour patterns

(where you joined our site from, the path you take through our site and where you leave). These are stored against unique ids (which are strings of numbers).

GForces collects this information for the legitimate business purpose of monitoring the number of visitors to the various parts of the site, the general geographic location of visitors and engagement levels, which in turn enables it to make improvements to its websites and services, and provide business intelligence. This information is only processed in a way which does not identify anyone. It is kept indefinitely.

Social Media

Peoples Ford operates channels, pages and accounts on some social media sites to inform, assist and engage with customers. We monitor and record comments and posts made on these channels about Peoples Ford to that we can improve our services.

Peoples Ford is not responsible for any information posted on those sites unless we posted it ourselves. We use them as a channel of communication – we don’t endorse the social media platforms themselves, nor do we endorse any information posted on them by third parties or other users.

When you engage with Peoples Ford via social media your personal data may be stored on that social media site’s servers, which are outside the control of Peoples Ford and may be in the US or elsewhere outside the EU. In addition, anything you post on these sites may be accessed and read by the general public. Because of this, social media channels really aren’t a sensible place to discuss your personal arrangements. Peoples Ford will never ask you to share personal information or take payments via social media sites, and you should not post such information on those channels.

We enjoy being social and Peoples Ford regularly updates and monitors social media accounts, welcoming feedback and ideas submitted via these channels. People who make a complaint to us

When we receive a complaint from a person we compile a file containing the details of the complaint. This normally contains the identity of the complainant and any other individuals involved in the complaint.

We will keep personal information contained in complaint files in line with our retention policy. This means that information relating to a complaint will be retained for up to seven years and typically three years from conclusion of any relevant contract. It will be retained in a secure environment and access to it will be restricted according to the ‘need to know’ principle.

Our Data Retention policies are reviewed on an ongoing basis to ensure that we will only hold your personal data for as long as is required for the relevant processing activity, or as is required by law or a contractual agreement we hold with you.

Sharing Personal Data

We do share your data with third party providers, to help us deliver the products and services however, we only disclose your information as far as is necessary to provide the service.

In the case of applying for Finance for a vehicle your personal data will be shared with relevant third party Finance companies; Ford Credit, Santander, Barclays Finance, Blackhorse, to seek finance approval for you.

Where you have purchased Guaranteed Asset Protection, a vehicle Warranty or a Service Plan Agreement it is necessary to share your personal data with the The Warranty Group to provide you with the service or product you have requested from us.

Your personal data will be disclosed to the Vehicle manufacturer Ford Motor Company, when you have purchased a relevant vehicle. You will be provided with a copy of the Ford Fair Collection Notice during the order process, detailing how your personal data may be used by Ford Motor Company.

There may also be circumstances when we are legally obliged to share your personal data.

Legitimate Interests

We may use and process your personal data for reasons that we consider as Legitimate Interest; in our commercial interests and the interests of our customers.

We consider the following to be areas of Legitimate Interest-

1. Contacting customers about products, offers and events where there is a relevant and appropriate relationship with them.

2. Contacting our customers in order to gain feedback relating to their experience when visiting our dealership or using our services.

3. Contacting our customers to provide vehicle support including Service Reminders, Mot Reminder or Vehicle Health Check follow up.

We will collect consent from you during visits to our dealerships, including how you would like us to use your information to contact you about products, services and offers. We will give you separate options to receive information about offers relating to sales, about offers relating to servicing and follow up communications.

Access to your Information

Under the General Data Protection Regulation (GDPR) and The Data Protection Act 2018 (DPA) you have a number of rights with regards to your personal data.

You have the right to:

• request access to the information Peoples holds on you and for what purposes

• make corrections to the information if necessary

• request the erasure of your personal data

• restrict processing of your personal data

• object to processing of your personal data; and

• In certain circumstances the right to data portability

Our website is powered by GForces Web Management Limited (“GForces”), our third party web services provider. GForces is committed to ensuring that data is processed in accordance with applicable data privacy laws, and is kept secure. GForces is certified to the standard of ISO27001 (an international standard for information security). GForces uses Amazon Web Services, Inc as its cloud platform provider. All data processed by GForces is stored on Amazon’s web servers in the EEA.
